Roll Call: Marilyn Hartzell, Lorin Hoklin, Nancy Irwin, and Chris Lewis. Staff: Kathy Davis. Minute A correction was noted. Lewis moved to accept minutes as amended, seconded by Irwin. Reports: April Monthly Report: Young Adult Librarian, Sue Plaisance, in cooperation with the Twality Health Center, is developing resource packets for patrons searching for information on severe illnesses. New magazine index has been produced listing all library subscriptions by title, subject, and holding type. The library was involved with the Chamber Trade Show again this year. Two computer stations were set up to demonstrate several business databases and WILI dial-up access. A student intern at PCC has been working with the library assisting with Children's and Young Adult Summer Programs. Over 1,000 people attended the library's Mystery Night. It was very successful and more adult activities are being planned. Several staff members attended the annual Oregon Library Association conference. Friends of the Library: Director reported that the Writer's Resource Group has been approached to assist with a poetry contest with the help of the B Friends. Director discussed pros and cons with Board and has already discussed concerns with Friends Chair, George Burgess. Hoklin moved that the Tigard Public Library Board enact a resolution to respectfully communicate to the Friends concern with contest content and urge the Friends to proceed cautiously and consider potential liabilities involved, seconded by Irwin. Hoklin enacted amendment to original resolution. In addition, Tigard Public Library applauds the Friends' efforts with the Writer's Group to strengthen their efforts and will do everything appropriate to support them in the future and to entertain any future endeavors, seconded by Lewis. Hoklin recognized Jean Lindsay, Volunteer Coordinator, for all of her efforts with the Writer's Resource Group. CLAS: Still in the process of reviewing existing programs for budget for the next levy. A subcommittee has been formed to look at each individual library and how to determine how much money libraries will receive from levy. CLAB is also looking at the possibility of increasing service incentives through libraries. To determine how much extra money libraries will receive, an idea was posed to reimburse for open hours which is called "Open Hour Grant"which means these libraries will be given additional money for longer hours open. In the rating process of open hours, TPL has received an excellent rating due to its length of open hours. As a result, TPL would receive additional money. Still in discussion stages. �! ! . Planning for Meeting with City Council/Review of Council Goals: Director passed out Council Statement of Priorities 1994-95. Director and Board would like to help facilitate City successfully reach these goals by utilizing the libraries resources. Board would like to coordinate a joint meeting with Council to lay down groundwork to achieve these priorities. Meeting to take place sometime after June 8. Public Internet Access: The Tigard Library is just one of many access sites throughout the country to be connected with the Clinton's Electronic Town Hall from May 1.14. This will enable patrons to write to the Clintons via the Internet. Director encouraged Board to see what this was all about. Revised Library Survey: Director thanked Board members who assisted with the revision. Board reviewed survey. An either/or system of questions was added and more spaces to encourage individual comments. Other Business: Director expressed excellent service and appreciation for commitment from Hartzell during her term on Library Board. Adlomment: Hoklin moved to adjourn meeting at 8:40 p.m., seconded by Lewis. cm/brdndn • MEMORANDUM CITY OF TIGARD, OREGON TO: Bill Monahan, City Administrator FROM: Kathy Davis, Library Director DATE: May 4, 1995 SUBJECT: Monthly Report, April 1995 • The library is working in conjunction with Twality Health Center to develop packets for patrons searching for information on life threatening/terminal diseases. Sue Plaisance is taking the lead on this task. Information will be made available to Human Resources for use by City employees. • New magazine index has been produced listing all of the library subscriptions by title, subject, and "holding type" (magazine, CD Rom, microfiche). Copies are sent to all Tigard Schools and other county libraries to encourage borrowing (articles faxed to other libraries are reimbursed at $5 per article). A copy of the index will be sent with this report. • The library was represented at the Chamber of Commerce Trade Show. We were able to set up two computer workstations, with equipment made available by the High School to demonstrate several business databases and "dial-up" access to WILI. • The Portland Community College Library Media Program has placed a student intern with us fbr 100 hours. Debbie Fast is assisting with Children's and Young Adult Summer Program planning. • It's been a busy month in the library for programs with 1,055 citizens, young and old, attending storytime, computer and CD Rom classes, and Mystery Night. More "adult" activities are being planned. (See attached survey). • Several staff members attended the annual Oregon Library Association Conference in Portland and came back energized and full of ideas for coping with important issues. One excellent preconference that I attended dealt with providing service to your local government- something TPL has been experimenting with for three years.
