06/13/2012 - Minutes City of Tigard Library Board Minutes MEETING DATE/TIME: Wednesday,June 13,2012 7 p.m. MEETING LOCATION: 13500 SW Hall Blvd., Second Floor Conference Room 1. CALL TO ORDER: At 7 p.m. Chair David Burke called to order the June 13,2012 Tigard Library Board. 2. ROLL CALL Chair David Burke called the roll. Present at the meeting were: David Burke,Laura Cadiz, Scott Hancock,Linda Monahan, Cecilia Nguyen, Dan Snyder and John Storhm;Alternates Stephanie Carter and Katie Harris;Library Director Margaret Barnes and Executive Assistant Alison Grimes 3. APPROVE MINUTES The Board reviewed and approved the minutes from the Thursday,May 10,2012 meeting. Motion—Monahan Second—Burke Burke—Aye Cadiz—Aye Hancock—Aye Monahan-Aye Nguyen—Aye Snyder—Aye Storhm—Aye 4. AGENDA ADDITIONS AND DELETIONS None. 5. CALL TO THE PUBLIC Stephen Hughes, Circulation Library Assistant,joined the meeting as this month's staff guest. Starting at the Library as an On-Call Assistant, Hughes now works full-time. Some of his duties include assisting patrons at check-out,inspecting and buffing DVDs,training and working with new volunteers, assisting as a facilitator with the Summer Teen Volunteer program, and other service-related tasks. Hughes is also on the Staff Education Committee and COOP (Continuity of Operations Program), a library-specific emergency preparedness program. He enjoys working at the Library and, despite the budget constraints and internal changes;he feels the staff remain positive. RFID UPDATE It does appear that the RED tagging system is saving a little time in processing. Patrons have commented that they're pleased about the self-payment of fines option on the self-check machines and a quicker check-out. Although items are still trickling in that haven't been tagged,an estimated 87%of the Library's collection has been tagged and we're not even a full month into the RFID program. In the future then next big project will be Automated Materials Handling. 7. LIBRARY OPERATIONS Statistics from May were passed out to the Board along with an article about e-books called"Wired Library: Check It Out". Barnes gave each Board member a mouse pad that says "Tigard Public Library—We Can Take You Anywhere". The mouse pads are placed at every public computer station,the OPACs and the computers in the Technology Room. The Summer Reading program has begun;the bluegrass band,Roundhouse,kicked-off the program on June 15t Besides receiving books,adult patrons who sign up for Summer Reading may also receive a travel mug, courtesy of the Friends. This year's Summer Reading grand prize is a two-night stay at Sylvia Beach Hotel, where each guest room has a different author-themed decor. Publicity for the change in Library hours begins with a notice in the next water bill. Bookmarks noting the new hours will be handed out to patrons at check-out and magnets,courtesy of the Friends,will be provided to patrons who request them. Banners saying"Library Closed on Thursdays"will be placed out front by Hall Blvd. A special Thursday Closure/Hours comment card is being created for patrons and their remarks will be logged in a database for future review by Library management. It is expected that the Library will receive a large crowd on July 6 as the building will be closed two days in a row. 8. OTHER BUSINESS Interviews with candidates interested in the Library Board seat will be held at the end of the month. The Mayor and Council President Buehner will be interviewing potential candidates. The Board reaffirmed their May resolution to not meet in July;the next meeting will be Wednesday,August 8. Agenda items for August will include more information on the Thursday closure and an update on the Summer Reading program. The Board's Annual meeting will be held in September and several policies will be reviewed at that meeting. ■ LIBRARY TRENDS None. 9.
