05/14/2014 - Minutes City of Tigard Tigard Public Library Board — Minutes MEETING DATE/TIME: Wednesday,May 14, 2014 7 p.m. MEETING LOCATION: 13500 SW Hall Blvd., Conference Room, Second Floor 1. CALL TO ORDER: Chair Scott Hancock called to order the May 14,2014 Tigard Library Board at 7:00 p.m. 2. ROLL CALL Present at the meeting were: Laura Cadiz, Katie Harris,Dan Snyder and Jan Thenell; Readers Services Manager Molly Carlisle and Executive Assistant Alison Grimes. Linda Monahan,John Storhm and Library Director Margaret Barnes were excused. 3. APPROVE MINUTES The minutes from the April 9 Library Board were reviewed and, there being no additions or corrections, were approved as written. AGENDA ADDITIONS AND DELETIONS Library Use policy was added to Item #6: Library Policies Review. 5. CALL TO THE PUBLIC Xiaohong Lu, Circulation Library Assistant,was the staff guest for this month. With a background in engineering, teaching and library work,Lu has been at TPL since 1996. Although the position is the same, her job duties have changed over the years;however her number one priority remains the patron. Some of her other duties include training new adult volunteers, assisting new and current patrons at the Welcome Desk, training and working with the annual influx of teen summer volunteers and troubleshooting various computer issues. Lu discussed and passed out information regarding the various Cultural Passes available at the Library. LIBRARY POLICIES REVIEW After review,and there being no additions or corrections,the following two policies were re-adopted by the Library Board: o Interlibrary Loan Policy Motion—Harris Second—Thenell Cadiz—Aye Hancock—Aye Harris —Aye Monahan- Excused Snyder—Aye Storhm—Excused Thenell—Aye Minor changes to the following policy have been reviewed and vetted by the City attorney. o Library Use Policy Motion—Thenell Second—Harris Cadiz—Aye Hancock—Aye Harris —Aye Monahan- Excused Snyder—Aye Storhm—Excused Thenell—Aye 7. CITY STRATEGIC PLAN Carlisle distributed copies of the draft of the City's Strategic Plan. One of the recommendations from the 2012 Mayor's Blue Ribbon Task Force asked that the City"develop a strategic plan that articulates a clear vision for the city." This Plan, once completed and adopted,will provide guidance and direction for the City's priorities for the next 20—30 years. Various Library staff is in different focus groups discussing ideas. She also passed out copies of the City's web page showing where citizens could submit input and reviewed some of the priorities already submitted. Carlisle also noted that the Vision Statement for this Strategic Plan is to make Tigard"The most walkable community in the Pacific Northwest where people of all ages and abilities enjoy healthy and interconnected lives." City Council is supportive of the Plan but has not yet adopted it. A PowerPoint presentation concerning the document was skipped. 8. LIBRARY OPERATIONS The monthly statistics from February,March and April were handed out and reviewed. Carlisle reported that the book titles on both the Kindles and Nooks available for patrons to check out have been updated with new book titles. More Nooks have been ordered (they are less expensive than Kindles) to keep up with patron demand. She also noted that WCCLS is adding another ebook vendor,3M. 9. OTHER BUSINESS o Hancock reported that the annual meeting with City Council went very well; Council members asked multiple questions, some concerning reopening the Library on Thursdays. o Carlisle mentioned that the Friends raised over$7,000 during their recent book sale. o It was requested that the Library Foundation be added to Other Business in the June agenda. o Carlisle presented Hancock with his certificate and 5-year volunteer pin and explained to the Board why he was receiving them.
