05/12/2011 - Minutes TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, May 12, 2011 Call to Order: 7:06 p.m. Roll Call Present at the meeting: Board members Richard Heath, Linda Monahan, Cecilia Nguyen and John Storhm and Jennifer Vasicek, Library Director Margaret Barnes and Executive Assistant Alison Grimes. David Burke and Scott Hancock were excused. In Burke's absence, Heath chaired the meeting. Minutes The April 14, 2011 Board meeting minutes were reviewed and, there being no additions or corrections, were approved as read. Motion — Monahan Second — Storhm Burke — Excused Hancock— Excused Heath — Aye Monahan - Aye Nguyen - Aye Storhm —Aye Vasicek —Abstain Agenda Additions and Deletions Item #10 Other Business: Add Library Board Recruitment and Summer Meeting Schedule. Call to the Public Amy Emery, Acquisitions Coordinator in Technical Services, was this evening's staff guest. Emery has been with the Library for 27 years, starting off in the original building (the old paint store in downtown Tigard) while in high school. Amy orders all the Library's materials, books, DVDs, CDs, and juggles a $610,000 acquisition budget (up 235% from her 1994/95 budget of $182,000) within 65 separate accounts. She noted that the Internet has been a huge time-saver for her and has allowed an increase in acquisition orders; in 1999/2000 she ordered 13,000 items versus 41 ,000 items ordered in 2010. Library Operations Copies of May's stats were distributed and reviewed. Based on the circulation statistics at this time, it is unclear how the Murray Scholls branch is affecting our statistics. Tax season is over; patrons who utilized the AARP-sponsored tax help were very appreciative of the service. Library staff is gearing up for the June 1 kick-off of the Summer Reading Program. Programs, like the recent Labyrinth program, still draw good crowds. TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, May 12, 2011 Budget Update Barnes told the Board that the Library's 2011/2012 budget remains basically the same. It has been accepted by the Budget Committee and now heads to City Council for their approval. In response to a question from the Board, Barnes believes it is unlikely that Thursday morning hours will be restored in 2012/13. Library Policies Review Moved to the May meeting due to time constraints and there being no further additions or corrections, the Board approved the following Library policies: Unattended/Vulnerable Child Food and Beverage Public Computers Reference Services Fee-Based Services Library Card Donation Guidelines Motion — Monahan Second — Storhm Burke — Excused Hancock— Excused Heath — Aye Monahan - Aye Nguyen - Aye Storhm —Aye Vasicek —Aye The Library Card Policy was then reviewed and approved. TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, May 12, 2011 Summer Reading Overview Sign up for the Summer Reading Program begins June 1. The theme for adults is "Novel Destinations", "You Are Here" for teens and, "One World, Many Stories" for kids. Other Business • Library Board Recruitment — Four or five applications have already been received. Neither Heath nor Vasicek will be re-applying for their seats, plus the alternate's seat needs to be filled. Storhm will be re-applying. Barnes noted that Nguyen is on her last term and will not be able to reapply once her term ends in June 2013. Barnes asked that if Board members knew of anyone wanting to serve, to please let her know. • Summer Meeting Schedule — Historically, the Board usually does not meet either in July or August due to vacations. This year July's meeting date is the 14 and August's is the 11. As members were unsure of their upcoming commitments, it was decided to place this topic on June's agenda and revisited then. • Foundation Update — The last meeting with FFA regarding the facilities study was May 11 . Scheduled for a completion date of May 18, a copy of the final report will be forwarded to City Council. A design of a web page is moving forward. • Library Trends — Barnes said the Library was acquiring an iPad 2 to assist patrons. Adjournment: There being no further business, the meeting adjourned at 8:10 p.m. The next Library Board meeting is scheduled for Thursday, June 9, 2011 at 7:00 p.m. in the Conference Room at the Tigard Public Library, 13500 SW Hall Blvd.
