Tigard Public Library Board — Minutes
MEETING DATE/TIME: Wednesday,April 10, 2013 7 p.m.

1. CALL TO ORDER:
At 7:00 p.m. Chair David Burke called to order the March 13,2013 Tigard Library Board.
2. ROLL CALL
Present at the meeting were: David Burke,Laura Cadiz, Scott Hancock,Linda Monahan and John Storhm;
Alternate Katie Harris;Library Director Margaret Barnes and Executive Assistant Alison Grimes. Cecilia
Nguyen and Dan Snyder were absent.
3. APPROVE MINUTES
The Board reviewed and, after noting a change to Item 8, "internal" to "Internet", approved the minutes
from the March 13, 2013 meeting.

4. AGENDA ADDITIONS AND DELETIONS

5. CALL TO THE PUBLIC
Attending the Board meeting was the recently appointed Council liaison to the Library Board,Jason Snider.
Barnes then introduced Tere Trawinski,a Library Assistant in Technical Services. Starting as a library
volunteer in Technical Services in 2005,Trawinski was hired in 2007 as a Circulation staff member. She
moved to her current position in Technical Services in 2008. Along with being our current representative
on the Safety Committee,Trawinski is also one of the library's in-house Spanish translators. She explained
her job in Technical Services -how items arrive and the routine she follows to check in items —passing
around different forms that are inserted in items to track their progress. Trawinski also explained how she

recycles just about everything received in that division. Plastic, cardboard, even DVD cases are reused,
given to the children's librarians for crafts or recycled.
6. ANNUAL LIBRARY PATRON SURVEY
Survey comments have been posted on the library website and are available for review. Barnes will provide
some comments for Board review in the May meeting.
7. ANNUAL MEETING WITH CITY COUNCIL
The Board reviewed the Top 10 list, editing and changing the order of several statistics. Numbers only
from the Top 10 will be listed on a 2'x 3'poster, starting with #10 and ending with #1 and the figures will
be covered until revealed. A hand-out sheet of the Top 10 list will be distributed to Council members. The
finished poster and hand-out will be ready to view at the May meeting. The Board meets with City Council
for their annual joint meeting on Tuesday,May 21 at 6:30 p.m.
8. LIBRARY OPERATIONS
Barnes distributed the March statistics for the Board's review. Circulation statistics are down approximately
7%. The library saw a 20%increase in volunteer hours in March compared to March 2012. Preventative
maintenance is being done in various areas of the library as the building begins to age. Acrylic sheeting was
installed in the Circulation hallway to protect the walls from wear and tear from the book bins. An acrylic sheet
was also installed in the Technical Services workroom to protect a wall where incoming boxes of books are
stacked. The next big maintenance issue,Barnes noted,will be the replacement of the carpet on the second
floor. The Friends book sale will be held Friday,April 19 through Sunday,April 21. The annual Volunteer
Recognition is scheduled for Sunday,June 9. 2013 marks the 50''year a library has been in Tigard and a
celebration will be held sometime in the next twelve months. Finally,Barnes handed out the Chamber of
Commerce business / membership guide to the Board.
9. LIBRARY BOARD OPENINGS
As three Board positions are termed out, a notice requesting applications will be in the May edition of
Cityscape. Interviews will be scheduled for some time in June, and the new members will attend their first
board meeting in July.
