Tigard Public Library Board — Minutes
MEETING DATE/TIME: Wednesday,December 10, 2014 7 p.m.

1. CALL TO ORDER:
Chair Scott Hancock called to order the December 10,2014 Tigard Library Board at 7:00 p.m.
2. ROLL CALL
Present at the meeting were: Laura Cadiz, Scott Hancock, Katie Harris,Linda Monahan,John Storhm and
Jan Thenell; Library Director Margaret Barnes and Executive Assistant Alison Grimes. Dan Snyder was
excused.
3. APPROVE MINUTES
The minutes from the October 8 Library Board were reviewed and, there being no additions or corrections,
were approved as written.

4. AGENDA ADDITIONS AND DELETIONS
None.
5. CALL TO THE PUBLIC
Trish Stormont,Volunteer Coordinator,was the Library staff guest for this meeting. With the Library for
over 15 years, Stormont is the driving force behind finding and orienting new volunteers. Doubling the
number of volunteers since moving to the new library, Stormont said the state of the volunteer program is
good. She gave library staff a lot of credit for their help in training the new volunteers. Stormont also
spoke about the summer teen volunteer program noting that 86% of teen volunteers return the following
summer. Finally, she invited Board members to speak at the library-sponsored activities during the Martin
Luther King,Jr.weekend of service,January 17, 18 and 19.

6. CITY STRATEGIC PLAN
Officially adopted by City Council in late November, "the vision calls for Tigard to be the most walkable
community in the Pacific Northwest where people of all ages and abilities enjoy healthy and interconnected
lives." The plan will chart priorities through 2034.
7. RECAP OF JOINT MEETING WITH BEAVERTON CITY LIBRARY ADVISORY BOARD
Hancock gave a brief recap of the joint meeting,which included a tour of their AMH (Automated Materials
Handling) equipment and participate in their Advisory Board meeting. Harris,Thenell and Storm,who also
attended,gave their insights as well.
8. AUTOMATED MATERIALS HANDLING
The contract is not quite finalized,but during the October 14 City Council meeting, the City's local contract
review Board approved the proposal submitted by Lyngsoe Systems, Inc., the same company who installed
Beaverton and Hillsboro's automated materials handling equipment. Barnes said the installation of the
AMH system will take approximately 20 weeks to complete. Barnes diagrammed the layout of the AMH
system,noting that there will be an outside ADA-accessible walk-up window to drop off library materials.

9. LIBRARY OPERATIONS
Beginning in January, self-check machines will require the patrons'password before allowing items to be
checked out. Publicity regarding the change will be displayed soon. Barnes reported that ebooks continue to be
popular;the new 3M Cloud application, similar to Library2Go and accessible with a valid library card,will allow
patrons to browse,borrow and read popular fiction and non-fiction ebooks. November statistics were
distributed and reviewed. Barnes informed the Board that managers were beginning to work on their 2015-16
budget.

10. OTHER BUSINESS
o LIBRARY TRENDS
■ Harris passed around a book she discovered giving a photographic journey of public libraries
around the country.
■ Barnes reminded the Board to begin thinking of presentation ideas for the 2015 joint meeting
with City Council. The meeting will be held in April.
11. ADJOURN
There being no further business, the meeting was adjourned at 7:50 p.m.
