Resolution No. 03-49 CITY OF TIGARD, OREGON RESOLUTION NO. 03- A RESOLUTION TO REVISE THE CITY OF TIGARD CITY WIDE PERSONNEL POLICIES, ARTICLE 45.0, ELECTRONIC COMMUNICATIONS, ADDING NEW SECTION TITLED "PERSONAL DIGITAL ASSISTANTS (PDA)" WHEREAS, Network Services and the City Executive Staff have reviewed the City Wide Personnel Policies and determined that there is a need for policy direction on the use and purchase of Personal Digital Assistants, electronic equipment used by some City staff NOW,THEREFORE,BE IT RESOLVED by the Tigard City Council that: SECTION 1. The City of Tigard City Wide Personnel Policies, Article 45.0, Electronic Communications,is revised to add this new section titled "Personal Digital Assistants" as reflected in Exhibit "All SECTION This resolution is effective immediately upon passage. ATTEST: Ty�7c—i4 oIgard C�AA\` Ci Recorder-City of Tig RESOLUTION NO. 03 - Page 1 Exhibit "A" City of Tigard City wide Personnel Policies Article 45.0 Electronic Communications PERSONAL DIGITAL ASSISTANTS (PDA) This policy applies to all employees who use either a personal PDA or a city purchased PDA when conducting city business. Department Directors are responsible for determining if it is in the best interest of the city to equip an employee with a city funded PDA. The city recognizes the benefit of having a complete schedule, including both city and personal appointments. Therefore, posting and synchronizing of personal appointments between a city computer and either a city funded PDA or a personal PDA is permitted in order to provide a complete view of an employee's schedule. Employees who wish to furnish their personal PDA, purchased with personal funds, are subject to this policy if they use their PDA to conduct City business. The City may restrict the make and model of any PDA hardware and software which may connect to a city computer. Employee acknowledges that information on the PDA may be public record and must be kept according to the City's retention schedule and that the employee's personal PDA may be subpoenaed to verify that all City information has been provided if so requested. Department Directors will insure that the "Request to Use Personal PDA" form is completed for any employee who requests usage of a PDA for city business. In the event of a lost or broken PDA purchased with City funds, the Department Director will determine if the loss occurred as a result of employee negligence when deciding whether the city will purchase a replacement PDA. In the event of a lost or broken PDA purchased with personal funds, the city will not replace nor reimburse the employee for the loss, as per Citywide Personnel Policy 60.0.
