CALL TO ORDER: Chair Mary Bogert called the meeting to order at 6:31 p.m. 2. ROLL CALL Members Present: Helen Allen, Mary Bogert, Candice Coleman, Shirley Edwards, Kate Ristau (Virtual) Member Excused: Chris Allen, Jim Ivler Alternate Excused: Alan Smith Alternate Unexcused: Bart Hawkins Council Liaison Excused: Councilor Jai Raj Singh Teammates Present: Halsted Bernard, Director of Library Services Margaret L. Reh, Confidential Executive Assistant Jaime Hutchison, Circulation Supervisor 3. PUBLIC COMMENT There were none. 4. APPROVE LIBRARY BOARD MINUTES The Board reviewed the minutes from the April 12, 2023 Tigard Public Library Board meeting. No changes were suggested. Motion by Shirley Edwards. Second by Candice Coleman to approve the April 12, 2023 minutes as written. Motion was approved unanimously. The minutes will be posted on the City website. AGENDA ADDITIONS, DELETIONS, AND FOLLOW-UP ITEMS We added Agenda Item 9a to discuss the summer Library Board schedule. 6. ICE BREAKER The question of the evening was “When you cook for yourself, what is your go-to food?” It was surprising to find out how many of the group really don’t like to cook. MEET THE TEAM: JAIME HUTCHISON: CIRCULATION SUPERVISOR Our guest tonight was the Circulation Supervisor Jaime Hutchison. Jaime has worked at the Tigard Public Library since 2001. When Jaime began working for the library, we were still in the building over at City Hall which is now the Permit Center. Jaime shared information about the Student Access card program. 3,400 cards have been mailed out to middle and high schoolers. This program is part of our process to continue removing barriers to library use. 8. DISCUSSION AND FINAL PREPARATION FOR JOINT CITY COUNCIL/LIBRARY BOARD MEETING The Board finalized their preparations for their annual presentation to be made to the City Council on Tuesday, May 16, 2023. Library Board members who will be able to attend the City Council meeting are Mary Bogert, Candice Coleman, Kate Ristau, and Shirley Edwards. Teen Library Council member Sarah D’Hondt and Teen Youth Librarian Lisa Elliott will also be joining us. 9. DIRECTOR’S REPORT Library Director Bernard presented the Director’s Report, which contained updates on library services and programs. Of note this past month: Storytime is now being held in the Puett Room for the first time since pre-COVID. Along with other service tweaks, we have finally entered Service Level 5! The Innovation Team continues to work on the flexible technology lab that includes access to reservable meeting space for up to 16 community members. They are designing it to be a modular space. AARP prepared taxes for 669 people at the Tigard Public Library this year. This is a 20% increase from last year. Many of our teammates attended the Oregon Library Association’s (OLA) annual conference in Bend. They are excited to implement new concepts into practice at the library. 9a. LIBRARY BOARD’S SUMMER SCHEDULE OF MEETINGS A proposal was presented to the Board to not meet in July and August this summer due to some scheduling changes with staff. The consensus of the Board was to cancel the July and August meetings and to resume the meeting schedule on September 13, 2023. OTHER BUSINESS No other business was discussed. 11. ADJOURNMENT Chair Bogert adjourned the meeting of the Tigard Library Board at 7:18 p.m. We will continue to conduct the meetings as hybrid meetings. The next meeting will be held on Wednesday, June 14, 2023 at 6:30 p.m. Those in person will meet in the 2nd Floor Conference Room and those attending virtually will connect via Microsoft Teams.
