Minutes - 09-27-2016 MINUTES WELLNESS COMMITTEE SEPTEMBER 27,2016 (8:00-9:00 AM) LIBRARY ATTENDEES:Sherrie Burbank, Liz Lutz,Nancy Lof,Louis Sears,Jennifer Curran. Missing: Adam Jensen, Shelly Wert,Doreen Laughlin,Alison Grimes 2017 WELLNESS COMMITTEE ROLES Sherrie shared the lineup for roles for 2017. Pretty much everyone on the committee marked "Researcher" as their first choice, and unfortunately, that's a one person role. To select that person we did a drawing of names. For other roles Sherrie &Jennifer tried to find an option that met everyone's 2nd choice. Special thanks to Louis who agreed to go with his 3rd choice. Roles are: Training:Doreen, Liz Events: Alison, Louis, Shelly, Sherrie Researcher: Nancy Communications: Adam,Jennifer We reviewed the specific roles and how that would work with quarterly topics and how each committee member will help as they can and is needed with training& events (see 2017 Wellness Format Concept doc for more detail): 4 Quarterly topics For example, a topic might be "Heart Health". That would be the or themes agreed main topic for 3 months. Everything we do would be toward that upon by the whole theme. committee 2 Training The training coordinators are responsible for planning a total of 4 Coordinators (one each quarter) trainings. Training means a class or other type of presentation to share Brandi will assist them. They can either work separately and each be responsible for 2 trainings or coordinate a different plan. Training planned will include alternative options for varying work schedules. 4 Event Event coordinators are responsible for planning and executing a total Coordinators of 4 events (one each quarter). An event means something that employees participate in. They can either work separately and each be responsible for 1 event, or work together. Events will include ways to reach different populations of employees and with differing schedules as well as is possible. Researcher The researcher will research and find articles on the quarterly topic for each of the 4 quarters. 2 Communications Communications coordinators will be responsible for initially getting Coordinator some templates for communications, and then quarterly communications out as needed based on training/events/and articles so all communications are cohesive and consistent. The 2 will help each other with proof reading. They can either work separately and each be responsible for 2 quarters or together. DISCUSSION ON WELLNESS TOPICS FOR 2017: Before we started on this, we looked at the survey of employees we did a year ago. We've done some of the items on there, but still the most popular items were gym membership, fit bits, and health/Fitness Club incentives/subsidies. Many of the items on the survey may be things we would better look at as pieces of a quarterly topic, but probably aren't standalone topics. • IDENTIFY FOUR TOPICS:Those in attendance identified the following topics: 1. First Quarter - Heart Health: Ideas for an activity/training might be a walking training, general heart health training, potluck with heart healthy foods maybe by building to accommodate scheduling, Heart healthy cookie competition. Lead: Lou 2. Second Quarter - Wellness Fair: This quarter may also include other things like getting people signed up for the "Wellness Works for You"website, TriMet incentives. Lead: Sherrie 3. Third Quarter - Family Challenge: This summer quarter we might focus on family-related health which could include a wide variety of things like healthy eating out, financial health, preparedness, movement challenge, etc. Lead: TBD 4. Fourth Quarter - Illness Prevention: We felt like there might be a whole lot of things we could cover with kids going back to school, flu shots, and cold prevention, cover your cough, hand washing, etc. Lead: TBD • ESTABLISH CONSISTENT WEEK OF MONTH FOR WELLNESS ACTIVITIES:We discussed establishing at least a range of time where we'd always do either the training or activity or article so that we had something coming out to employees every month, and so we could calendar it for planning purposes. Think about for next time what we think would be the best way: Like: Month 1: Training-Week 2 or 3 Month 2: Activity-Week 3 or 4 Month 3: Article- Week 2 or 3 RECURRING WELLNESS COMMITTEE MEETINGS • CHANGE DAY OF WEEK/WEEK OF MONTH/TIME?Tuesday mornings don't work well for everyone, so we are looking at changing to Wednesday 8am. FOLLOW-UP: For the next meeting, please review and consider the following: o Who will take the lead for quarters 3 and 4? o Our four identified Quarterly Topics - Does anyone want to add different ideas or comment? o Establishing a time range each quarter where people would know to expect training and activities. o Discuss plans for the remainder of this calendar year.
