Minutes - 08-09-2016 Wellness Committee Meeting Minutes,8/9/16 Present: Jennifer Curran,Sherrie Burbank, Nancy Lof, Louis Sears, Doreen Laughlin,Adam Jensen,Shelly Wert Movin'and Groovin'Challenge: Jennifer Curran presented the results of the Movin' and Groovin' Challenge and provided a summary of the results. There were a total of 67 participants, who logged a total of 1,637 activity hours. Rhonda Hudson will receive a gift for the most hours logged, and the committee selected two additional winners via a drawing. Library won the department prize with both highest percentage participation of staff and highest average time logged per participant. Discussion regarding how to allocate the prize/prizes to accommodate various work schedules at the library. Jennifer will speak to Alison about what the library thinks the best option is, including the possibility of setting up an account at the Literary Feast cafe, available for individuals from the winning team to access when it's convenient for their schedules. Planning the 2017 Calendar: It was suggested that we brainstorm or send a survey to identify next year's topics/events. The last survey went out about a year ago. Topics should be identified by October so that we can create the calendar by November and have it ready to be presented to the Leadership Team by December. Group discussion regarding how the current calendar is working for everyone, and whether we should plan a quarterly activities calendar,versus monthly. Scheduling quarterly activities allows us to explore topics in more depth. Also, it helps with time commitments,since everyone is busy. Sherrie and Jennifer proposed a quarterly calendar,with each quarter encompassing a training/presentation, a participation event, and an article or educational piece (i.e., a presenter gives a brown bag talk about walking; participants then engage in a walking challenge or event;followed by an article/educational piece regarding the benefits of walking). See the attached handout for details. Training Coordinator should work with Brandi Leos, as she can help coordinate with other city events already in place. Communication: Feedback received from the Leadership Team and city employees about the Wellness Committee's activities has been positive. The Wellness Committee's agreement is to apprise the Leadership Team in advance of any activities. Roles and Responsibilities: Sherrie solicited input about assigning roles and responsibilities to individual committee members, and provided a handout describing four proposed roles:Training Coordinator, Events Coordinator, Researcher, and Communication Coordinator. Each committee member would be assigned the role for a year. There is flexibility in how the responsibilities are carried out(i.e.,An Event Coordinator could choose to be responsible for one event, or they could team with another Event Coordinator to work together to cover two events). Each committee member was given a form to return to Sherrie,showing their preference for assignment for the 2017 calendar. Please fill the form out and return it by next Tuesday. In addition to the above, each committee member's role is to act as a liaison to their individual department,with an expectation that they communicate and coordinate Wellness Committee activities with their department's supervisory staff. Jennifer or Sherrie are available to assist if that feels more comfortable. Upcoming: • August-There is not a lot of time to plan an August/September event. We agreed to drop the planned August activities as we're already into August. • September-We should all come with ideas for the quarterly topics for calendar year 2017, and we'll start our annual planning. Discussion regarding alternative meeting places/formats—a yoga studio? Louis will look into an alternative meeting space. Also,there is an upcoming Safe Routes to School "Bike to School" event that may need volunteers in early September. • October- Oct 10-14 is National Save for Retirement week. Topic for October- Financial Wellness. Also, Louis is planning a Halloween related activity. We'll continue to finalize 2017 calendar. • November- By November our calendar for 2017 should be nailed down so we can get information out there.
