09/12/2012 - Minutes City of Tigard Library Board Minutes MEETING DATE/TIME: Wednesday,September 12, 2012 7 p.m. MEETING LOCATION: 13500 SW Hall Blvd., Second Floor Conference Room 1. CALL TO ORDER: At 7:00 p.m. Chair David Burke called to order the September 12,2012 Tigard Library Board. 2. ROLL CALL Chair David Burke called the roll. Present at the meeting were: David Burke,Laura Cadiz, Scott Hancock,Linda Monahan,Dan Snyder and John Storhm;Alternates Stephanie Carter and Katie Harris;Library Director Margaret Barnes and Executive Assistant Alison Grimes. Cecilia Nguyen was excused. 3. APPROVE MINUTES The Board reviewed and approved the minutes from the Wednesday,August 8, 2012 meeting. Motion—Monahan Second—Snyder Burke—Aye Cadiz—Aye Hancock—Abstain Monahan-Aye Nguyen—Excused Snyder—Aye Storhm—Aye 4. AGENDA ADDITIONS AND DELETIONS None. 5. CALL TO THE PUBLIC Tom Clawson, Circulation Library Aide,was introduced by Barnes as this month's staff guest. Retiring after 20+ years as a graphic artist, Clawson has been with the Library for the past four years. Along with two other regular aides, on-call aides and volunteers, Clawson shelves materials. He spoke about the recent summer teen volunteers,noting that the teens shelve for only 2 1/2 hours at a time to avoid boredom. Library Aides also provide `third-phase training',which is basically final hands-on shelving training for newcomers. Clawson asked several questions of the Board and thanked them for volunteering. ELECTION OF OFFICERS The floor was opened for nominations for Board Chairman for FY 2012-2013. Monahan made a motion to nominate David Burke to continue as Chairman;the motion was seconded by Hancock. All eligible voted aye and the motion passed unanimously. Monahan then made a motion to nominate John Storhm as Vice-Chairman;the motion was seconded by Hancock. All eligible voted aye and the motion passed unanimously. 7. POLICY REVIEW Three policies and a set of guidelines were presented to the Board for their review and approval: o Fee-based Services Policy There being no additions,corrections or changes,the policy was re-approved as presented. Motion—Snyder Second—Burke Burke—Aye Cadiz—Aye Hancock—Aye Monahan-Aye Nguyen—Excused Snyder—Aye Storhm—Aye o Food and Beverage Policy There being no additions,corrections or changes,the policy was re-approved as presented. Motion—Storhm Second—Burke Burke—Aye Cadiz—Aye Hancock—Aye Monahan-Aye Nguyen—Excused Snyder—Aye Storhm—Aye o Donations Guidelines Since this is a guidelines and not a policy,it was decided,after discussion,that it will no longer be necessary to annually re-approve but submit periodically for their review. 8. LIBRARY OPERATIONS WCCLS and Library statistics were reviewed. Barnes noted that volunteer statistics were up due to the amount of teen summer volunteers. She also informed the Board that the Library was exploring wireless printing for the public. OTHER BUSINESS ■ LIBRARY TRENDS Harris told the Board that a `take a book—leave a book' exchange box had been placed in her neighborhood. 10. ADJOURN There being no further business,Burke adjourned the meeting at 7:57 p.m. The next meeting of the Tigard Library Board will be Wednesday, October 10 at 7 p.m. in the second floor Conference Room of the Library, 13500 SW Hall Blvd.,Tigard.
