December Tea Party T1qARD LIBRAW PUBLIC Phone 639-9511 12568 SW Main-Tigard, Or. 97223 MINUTES TIGARD LIBRARY BOARD November 5, 1984 Call to Order 7:00 PM Roll Call Dick Bendixsen, Jane Miller, Susan Mueller, Walt Munhall, Peggy Ober. Excused: Dorene Thomas. Absent: Sue Carver. Also present from Friends of the Tigard Library: Ray Coffeen, Karrin Hawes, Bobby White, Marlene & Jim Tower, Bob Wyffles, Don Jacobson, Terry Frye and Yvonne Burgess. (Note: All Board members present are bona fide members of the Friends of the Library. This meeting was scheduled as a joint meeting because of mutual concern and involvement regarding agenda item on fund raising.) Reports Minutes for October 8, 1984, were approved as distributed. The monthly report for October was reviewed by Board members. The librarian also reported that the library will be open 40 hours (instead of 29) on November 6. There was discussion regarding the relationship between open hours and circulation. Members expressed concern over the failure of the six WCCLS grant proposals for federal funds, one of which would have funded automation conversion costs. Friends of the Susan Mueller reported that the November 3 Book and Bake Library sale netted $338. She also reported that she was preparing the application for tax-exempt status with the IRS. Yvonne Burgess announced that the Friends would hold their next meeting on December 4, in order to have a speaker from the Cedar Mill volunteer group. It was decided to have the meeting at 7:00 PM at the library. Civic Center Update Susan Mueller reported that final approval on the design of the building will be made by the Civic Center Advisory Com- mittee on November 8. The Committee will present its report to the City Council on November 12. The Librarian reported on a final meeting with architect John Weekes concerning placement of the public bathrooms and the circulation desk. She also showed the Board some tenative color schemes for furnishings which the staff had discussed. Fund Raising Chairman Munhall introduced guest Helen Steyeart. Steyeart Strategies told the group that she was interested in organizing a rummage sale to benefit the Tigard Library and would like to have the Library Board and the Friends of the Library support the project. She reviewed the success of the Cedar Mill Library annual rummage sale. She outlined criteria for sale items, operational details and reported on positive response she had received from community members. She emphasized that her plan was to make this an annual event and to increase proceeds each year. She suggested that it be held next March or April. Motion Susan Mueller moved that the Friends of the Library appoint Helen Steyeart as chairperson to sponsor the "Super Rummage TIGARD LIBRARY BOARD L _RTES - November 5, 1984 -- page Sale" for the benefit of the Tigard Public Library and that the first sale be in March or April 1985. Motion was seconded and passed by vote of the Friends of the Library which included Library Board members present. Following discussion on raising money through an increased Friends of the Library membership, the group decided by consensus to submit a request to the meeting of the Friends of the Library on December 4, to establish the calendar year as the annunal membership cycle and to increase annual dues as follows: Student & Senior Citizens $ 5.00 Individual $10.00 Family $20.00 Commercial $50.00 Mueller offered to write the letter to the Friends of the Library for consideration of these changes to the by-laws at the December 4 meeting. Motion Mueller moved that Dick Bendixsen draft and send a letter to businesses and individuals in Tigard soliciting member- ship in the Friends of the Library for 1985 with the re- vised fee structure. Motion was seconded and passed by Friends of the Library which included Library Board members present. Announcements Chairman Munhall announced that the Columbia Willamette Futures Forum was holding a regional conference November 16 and 17. He announced also that a Library Trustees Inservice Program is being held in Salem, November 9 and 10. Meeting adjourned 8:30 PM. Respectfully submitted X, Irene E.
