11/09/2016 - Minutes City of Tigard Tigard Public Library Board Minutes MEETING DATE/TIME: Wednesday,November 9,2016 7 p.m. MEETING LOCATION: 13500 SW Hall Blvd., Conference Room, Second Floor 1. CALL TO ORDER: Chair Scott Hancock called the November 9,2016 Tigard Library Board to order at 7:00 p.m. 2. ROLL CALL Present at the meeting were:Joseph Callahan, Scott Hancock, Katie Harris,Michelle Taylor,Jan Thenell, Roarke Van Brunt,Alternates Becky Gauthier and Mark Loomis,Library Director Margaret Barnes and Executive Assistant Alison Grimes. 3. APPROVE MINUTES The minutes from the October 12, 2016 Board meeting were reviewed. As there were no additions or corrections, the minutes were approved as presented. Motion—Harris Second - Callahan Callahan—Aye Hancock—Aye Harris—Aye Taylor-Abstain Thenell—Aye Van Brunt-Aye 4. AGENDA ADDITIONS AND DELETIONS None. 5. CALL TO THE PUBLIC Katie Nelson, the Library's new Volunteer Coordinator,was tonight's staff guest. An Oregon native, Nelson has been with the Library since August 8. After graduation from the University of Oregon,Nelson worked for a non-profit adoption agency where she worked regularly with volunteers. Utilizing her volunteer experience, and after a summer hiatus of no adult volunteer orientations,Nelson has held several adult volunteer orientations where 30 new volunteers signed up in September and 16 in October. She spoke about the Summer Teen Volunteering program and noted she enjoyed meeting current volunteers in the teen and adult groups. Nelson is also working with Sean Garvey, an adult librarian who also works in the Local History Room, to find volunteers who would be interested in assisting there. She mentioned that everyone has been incredibly friendly, supportive and willing to help out. 6. LIBRARY OPERATIONS The October statistics were handed out for the Board's review. Barnes spoke about the various programs held and scheduled for future months. A Holocaust survivor was giving a presentation tonight in the Community Room and recently a Krystallnacht survivor also spoke. October was a busy month for programs; the Library hosted the Tualatin Valley Community Band for an afternoon of spooky music; a Salsa Dancing class was held;we held a Day of the Dead program and the yearly parade of infants and Tigard Public Library Board MINUTES —Wednesday, November 9, 2016 City of Tigard 1 13125 SW Hall Blvd.,Tigard,OR 97223 1 503.639.4171 1 www.tigard-or.gov I Page 1 of 2 toddlers in their Halloween costumes topped the month off. Motors in the AMH machinery are being replaced this coming Monday and Tuesday. The Automated Systems Handling equipment really helps the work flow when working properly, so the new machinery should halt the occasional slow-downs and glitches. Staff in the Technical Services division are processing incoming items very quickly, allowing items to be placed on the shelves for patrons very quickly. The City Budget development process is beginning, but Barnes said it will remain status quo. There was also a brief discussion concerning the public Internet stations. The Library currently has a policy concerning the public use of the Internet. She will have additional information for the next meeting. Barnes will also have a sample of Beaverton Library's information for the December meeting. 7. OTHER BUSINESS ■ LIBRARY TRENDS Barnes told the Board that a library in Charlotte, North Carolina created special cards that patrons could purchase allowing them access to the library before it was open and staffed at reference desks and check-out counters. The library also installed more security cameras to keep an eye on patrons. Everyone thought it was an interesting concept,but it did pose its problems. Barnes also talked about`Bookomatics', a concept similar to Red Box but with books. She would like to see one in the western part of Tigard (Bull Mountain,Barrows Road area). Hancock checked with Board members to see if there would be a quorum for December as he would not be able to attend. The majority of Board members said they would be able to attend the December meeting. 8. ADJOURN There being no further business, the meeting was adjourned at 7:31p.m. The next meeting of the Tigard Library Board is scheduled for Wednesday,December 14, 2016 at 7 p.m. in the second floor Conference Room, 13500 SW Hall Blvd.,Tigard.
