Tigard Public Library Board — joint Meeting
Minutes
MEETING DATE/TIME: Wednesday,May 11, 2016 7 p.m.
MEETING LOCATION: 13500 SW Hall Blvd., Conference Room, Second Floor
1. CALL TO ORDER:
Chair Scott Hancock called to order the May 11, 2016 joint meeting with the Tigard Library Board and the
Beaverton Library Board at 7:00 p.m.
2. ROLL CALL
Present at the meeting were: Tigard Library Board members Scott Hancock,Katie Harris, Michelle Taylor,
Cole Weber,Alternate Becky Gauthier,Library Director Margaret Barnes and Executive Assistant Alison
Grimes. Linda Monahan,Jan Thenell and Roarke van Brunt were excused. Beaverton Library Board
members present were Tom Cutts,John Henshell, Gautam Kottapalli,Nancy Nkiwane,Joshua Pond,Julie
Scholz and Brad Schrock;Beaverton Library Director Abigail Elder and assistant Julie Emanuel.
3. APPROVE MINUTES
The Tigard Board reviewed and, there being no changes, approved the minutes as presented from the April
13 Board meeting.

4. AGENDA ADDITIONS AND DELETIONS
None.
5. CALL TO THE PUBLIC
Hancock welcomed the Beaverton Board members and library staff and all attending introduced themselves.
6. WORLD CAFE DISCUSSION
Barnes briefly explained what the World Cafe model was and that the Tigard Library Board planned a small,
mock model for this evening's meeting. Members were to answer the following questions: llhat are the

primary messages the Board wants to convey about the library to the public?and llhat are tangible strategies for engaging the
community to convey those messages?Attendees split into two groups with one group staying in the Conference
Room, the other going to the Local History Room. Harris facilitated the group in the Conference Room
with Hancock acting as scribe and Weber went with his group to the Local History Room with Taylor acting
as scribe. After about 25 minutes, everyone reconvened in the Conference Room to talk about their
experience and discuss the answers to the two questions. Some of the ideas the groups suggested:
■ Speak with different civic groups and organizations in the community—Girl Scouts, senior centers,
schools, etc.
■ Promote library as a welcoming,inclusive, fun place for patrons to explore various media
■ Build strong partnerships;work with other organizations and civic groups to promote the library
■ Actively market the library to the community
■ Request feedback from community as to what they want from their library; do they see value?
Afterwards, the Beaverton Board thought the World Cafe model was an informative, dynamic way to
encourage a group to get involved in the discussion. Barnes handed out copies of Tigard Library's Strategic
Plan to the Beaverton members and answered several questions.
7. LIBRARY OPERATIONS
Beaverton Library Director Elder distributed and discussed two items: Beaverton Library's strategic
framework and their draft Strategic Plan, explaining a little about their process. Barnes talked about Tigard
Library's annual Patron Survey and what suggestions were implemented from some of the survey responses.
8. OTHER BUSINESS
■ LIBRARY TRENDS
In tandem with Bicycle Alliance, Multnomah County Library is giving away bicycle lights during the
month of May.
9. ADJOURN
There being no further business, the meeting was adjourned at 8:26 p.m. The next meeting of the Tigard
Library Board is scheduled for Wednesday,June 8,2016 at 7 p.m. in the second floor Conference Room,
13500 SW Hall Blvd.,Tigard.
