Tigard Public Library Board — Minutes
MEETING DATE/TIME: Wednesday, March 11, 2015 7 p.m.
MEETING LOCATION: 13500 SW Hall Blvd., Conference Room, Second Floor
1. CALL TO ORDER:
Chair Scott Hancock called to order the March 11,2015 Tigard Library Board at 7:00 p.m.
2. ROLL CALL
Present at the meeting were: Scott Hancock, Maxie Harris,Linda Monahan,Dan Snyder and John Storhm;
Library Director Margaret Barnes and Executive Assistant Alison Grimes. Laura Cadiz and Jan Thenell
were excused.
3. APPROVE MINUTES
The minutes from the February 11, 2015 Library Board were reviewed and approved.

4. AGENDA ADDITIONS AND DELETIONS
None.
5. CALL TO THE PUBLIC
Laurie Calvert, Senior Library Assistant in Circulation attended the meeting. Calvert is one of two senior
library assistants in Circulation and has been with the library since 2010. Although she really enjoys dealing
with patrons and has a variety of other job duties, one of her favorites is planning and implementing the
Summer Teen Volunteering program. Between 80 and 90 teens sign up for the program that runs from late
June through August. The teens are divided into groups of 20 to 25, and can work either a morning or
afternoon shift. Each group is led by a teen leader who was chosen for their maturity, responsibility and
previous library experience. These groups shelve books throughout the summer, and are a big help in
getting materials back on the shelves quickly so they can be checked out again.
6. ANNUAL JOINT MEETING WITH CITY COUNCIL
Topics for the joint meeting that had been discussed during the last few meetings were chosen by individual
board members who will speak about it at the joint meeting between the Library Board and City Council.
Hancock will handle the introduction and the closing; Storm will speak about technology and the library;
Harris will speak about reviving Thursday hours and the budget; and Walker will speak about the
Community Room. Barnes passed around several pictures taken during various programs. Five images
were chosen to use during the joint meeting. Barnes will also determine the budget numbers for re-opening

on Thursday and provide them for Harris. Several pertinent patron comments from the annual library
patron survey will also be provided.
Councilor Snider, Council's liaison with the Library,will be attending the April 8 meeting and the Board
plans to introduce themselves,give a quick tour of the building, and will go over their topics for the joint
meeting for his input. It was decided to make April's agenda basic: Call to Order,Roll Call,Minutes, Call
to the Public and Visit with Councilor Snider/Review of Joint Meeting and Library Operations. The joint
meeting between City Council and the Library Board will last approximately 20 minutes and is scheduled for
Tuesday,April 21. Margaret asked the members who plan to attend to meet in the hallway at Town Hall at
6:20 p.m.
7. LIBRARY STRATEGIC PLAN
Two community meetings have been scheduled to gather ideas and suggestions in preparation for planning
the library's next 5-year strategic plan. The first meeting,both of which are open to the public,is scheduled
for Wednesday,March 18 at 6:30 p.m. in the Burgess Community Room. Barnes hoped members of the
Board could attend and explained a little bit about the strategic planning process. Using the World Cafe
approach,which was utilized for the 2010-2015 Strategic Plan, attendees offer suggestions,propose new
ideas and discuss service responses to assist the library in preparing the new 5-year plan.
8. LIBRARY OPERATIONS
The February statistical report was distributed and Barnes gave a quick update of recent activities. An Irish Celli
program was in progress at the same time as the board meeting and Hancock mentioned that he saw and heard
the bagpiper calling all to join the dance. The Automated Materials Handling project is progressing and work
inside the building should begin once the equipment is fabricated. The AARP Tax Assistance group works in
the Conference Room Fridays,Saturdays and Sundays helping patrons file their taxes. This is a free service
available to anyone who calls in and schedules an appointment. Finally,Barnes reminded the Board about the
Volunteer Recognition Celebration on Sunday,April 12.
9. OTHER BUSINESS
o LIBRARY TRENDS
Barnes spoke briefly about an article she read in the Library Journal about where libraries spend their funds.
She will provide the information for the next Board meeting. Snyder noted that he read his first eBook
which started a discussion about the differences between reading books versus eBooks. Storhm mentioned
that Apple is now pre-loading texts on school computers.
10. ADJOURN
There being no further business, the meeting was adjourned at 8:10 p.m.

Conference Room of the Library, 13500 SW Hall Blvd.,Tigard.
