04/12/2012 - Minutes TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, April 12, 2012 Call to Order: 7:02 p.m. Roll Call Present at the meeting: Board members Laura Cadiz, Scott Hancock, Linda Monahan, Dan Snyder and John Storhm; Alternates Stephanie Carter and Katie Harris; Library Director Margaret Barnes and Executive Assistant Alison Grimes. David Burke and Cecilia Nguyen were excused. Storhm chaired the meeting in Burke's absence. Minutes The March 8, 2012 Board meeting minutes were reviewed and approved as read with no corrections. Call to the Public No one besides Library Board members and staff were in attendance. Annual Meeting with City Council Board members reviewed the agenda for their annual meeting with City Council one last time. Barnes showed Board members the various visuals being used for the joint meeting: two RFID tags and several charts (teen volunteering statistics and various statistics from the recent Library Patron Survey) and program posters. The Library's iPad and eReader will also be taken to show Council members. As they will be first on Council's agenda which begins at 6:30 p.m., Board members were asked to be at City Hall by 6:20. Library Budget The proposed 2012-2013 City Budget will be available on line beginning April 13. Library-specific changes will include being closed on Thursdays, a reduction in programming, a decrease in collection development funds and a 4.1 FTE reduction of staff hours. Depending on the Board's wishes, as the Library will be closed on TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, April 12, 2012 Thursdays, the monthly meeting needs to be switched to another evening, unless Red Rock Conference Room at City Hall is utilized. Budget meetings begin April 23. Once adopted, the budget will go into effect July 1. Library Operations Barnes distributed the monthly statistics for March. Circulation is down just slightly from March 2011 . The annual Volunteer Recognition is scheduled for this Sunday, April 15. About 90 volunteers have responded to the invitation for the ice cream social event. Children's Story Times continue to be a popular program. In celebration of St. Patrick's Day, the Irish Ceili program attracted 225 attendees and the recent Tahitian Dance program was also popular. Molly Carlisle, currently the Youth Services supervisor, has accepted the position of Readers Services manager. She will assume her new duties May 1 . RFID (Radio Frequency Identification) tagging of library items has begun. Picture books have already been tagged and the transition appears to be going smoothly. The new gates are scheduled to be installed May 21 and the self-check machines, which will allow patrons to swipe their credit card to pay fines while checking out their items, are ordered. A new update for Polaris will occur in May. Other Business Encyclopedia Britannica will no longer be available in print; the 2010 32-volume set was the last edition. Adjournment: There being no further business, the meeting adjourned at 7:54 p.m. The next Library Board meeting is scheduled for Thursday, May 10, 2012 at 7:00 p.m. in the Conference Room at the Tigard Public Library, 13500 SW Hall Blvd.
