Tigard Public Library Board — Minutes
MEETING DATE/TIME: Wednesday,January 8,2014 7 p.m.

1. CALL TO ORDER:
Chair Scott Hancock called to order the January 8,2014 Tigard Library Board at 7:02 p.m.
2. ROLL CALL
Present at the meeting were: Laura Cadiz, Scott Hancock,Linda Monahan,Dan Snyder and Jan Thenell;
Library Director Margaret Barnes and Executive Assistant Alison Grimes. Katie Harris was excused;John
Storhm was absent.
3. APPROVE MINUTES
The Board reviewed the December 11, 2013 Library Board minutes and, there being no additions or
corrections, approved the minutes as presented.

4. AGENDA ADDITIONS AND DELETIONS
None.
5. CALL TO THE PUBLIC
Dianne Byrne,Technical Services Senior Library Assistant, attended as January's staff guest. Byrne has been
working at the Library for over 25 years, starting in Circulation and then moving to the Technical Services
division about three years later as a cataloging librarian. Byrne spoke about the Library's new book
collection and the criteria used to determine how an item is designated `new'. She explained that new books
are considered `new' for about five months and then are pulled from that area and moved to their specific
location (mystery,non-fiction, etc.).
6. LIBRARY POLICIES REVIEW
o Confidentiality of Library Records Policy
Concerning a query from the Board during January's meeting,Barnes reported that Overdrive has an agreement
with WCCLS that,by contract,they do not release patron information. There being no further questions,
Hancock called for a motion to approve the policy as read.

7. LIBRARY OPERATIONS
December 2013 library and cooperative statistics were distributed to the Board for their review. It was
noted that circulations were down from previous years,but taking the Thursday closure into consideration,
the figure was acceptable. Tigard Library's Library2Go circulations represent an average of 10% of the
Cooperative's overall numbers. During January,patrons may schedule one-on-one appointments with
librarians who will give them a short tutoring session to assist them in using their ereaders and ebooks.
Barnes handed out William Stafford's Ask Me: 1,000 Essential Poems of i-Villiam Stafford, this year's Oregon
Reads book choice and noted that his son, Kim,would be speaking at the library during the Oregon Reads
kick-off. The Martin Luther King,Jr. National Call to Service is scheduled for the weekend of Saturday,
January 18 through Monday,January 20`'. We average 20—30 additional volunteers for each of the three
sessions.
Department budgets are due soon; the library's budget will remain basically the same. The Thursday closure
will remain in effect. A focus group has been set up to review data gleaned from the City's recent phone
and Internet survey. Programs still remain popular;the Bells of the Cascades,along with a choir,presented
a holiday program that was very well attended. Several football games were shown on the big screen, too.
Carpeting for the second floor should be arriving soon;installation is slated to begin in late January. Most
of the work will be performed in the evenings and on Thursday, to minimize patron disruptions.
8. ANNUAL LIBRARY PATRON SURVEY
A copy of the upcoming patron survey was handed out for the Board's review and the questions were briefly
discussed. Amore cost-related question along the lines of"Would you pay$30 or more a year in increased
taxes to reopen the Library on Thursday?"might be added. Barnes asked if any Board members might be
interested in helping out at the survey table and told them that Trish Stormont,the Volunteer Coordinator,
would be sending them an email about it.
9. OTHER BUSINESS

Hancock mentioned that he saw a picture of Grimes by the stand-around board on the first floor.
Barnes told members that she had been selected as the Shining Star for the month of January.
10. ADJOURN
There being no further business, the meeting was adjourned at 7:54 p.m.
The next meeting of the Tigard Library Board will be Wednesday, February 12, 2014 at 7 p.m. in the second
floor Conference Room of the Library, 13500 SW Hall Blvd.,Tigard.
