03/08/2012 - Minutes TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, March 8, 2012 Call to Order: 7:00 p.m. Roll Call Present at the meeting: Board members David Burke, Laura Cadiz, Scott Hancock, Cecilia Nguyen, Dan Snyder and John Storhm; Alternates Stephanie Carter and Katie Harris; Library Director Margaret Barnes and Executive Assistant Alison Grimes. Linda Monahan was excused. Minutes The January 12, 2012 Board meeting minutes were reviewed and approved as read with no corrections. Call to the Public Fran Van Brabant, Library Aide in Circulation, joined us as tonight's staff guest. First starting as an On-Call Aide, Fran has been with the Library for the last six years. She described her typical day at the Library and answered questions from the Board. Annual Meeting with City Council The Board will meet with City Council for their annual meeting on Tuesday, April 17 at 6:30 p.m. First on the agenda, the Board will be allotted 20 - 30 minutes for their presentation. Burke asked for suggestions for topics to discuss during their meeting. After discussion, the following agenda was agreed upon: Opening Words Burke RFID Storhm E-books/E-readers Carter Programming Harris Teen Volunteering Hancock Closing Burke TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, March 8, 2012 Library staff will provide charts, RFID tags, survey result summary and comments, and posters from recent programs for visuals. Library Operations Barnes handed out two copies of press releases regarding the RFID project— the WCCLS press release and one found on OregonLive.com. Tagging of materials is going more quickly than expected; the RFID tagging staff is expected to begin at Tigard the end of March. WCCLS is covering the cost of the conversion and new security gates, while wiring is the responsibility of the Library. New self-check machines will also be purchased at a cost of $15,000 to $20,000. The new machines will have "sliders" so patrons may pay fines with their credit card. The January and February statistics were handed out and reviewed. Librarians are working on programming for Summer Reading. Phillip Margolin, whose most recent work of fiction is Capitol Murder, will be a guest author. The Summer Reading grand prize is a stay at Sylvia Beach Hotel, Newport, a hotel for book-lovers where each room has a different author theme. Barnes also told the Board that the annual volunteer recognition event, an ice cream social, will be held Sunday, April 15 from 2 — 4:30 p.m. Board members should be receiving an invitation within the next few weeks. Annual Patron Survey 3,000+ surveys were received this year; management is in the process of reviewing patron comments. Library Budget The City's Budget Committee will convene in late April. Barnes noted that the Library's budget will be tight; specifics will be known next month. A draft budget will be available on-line the 13th of April. Other Business • George Burgess Memorial — Council approved the Board's request to rename the Community Room the "George and Yvonne Burgess Community Room". Discussion is still in the works regarding the lettering or signage for the room. • Barnes handed out a notice for an ethics training meeting. Scheduled for Wednesday, April 11 from 5 — 6 p.m., it is designed for citizens who sit on boards or commissions and will discuss topics pertinent to their position as public officials.
