12/11/2008 - Minutes TIGARD PUBLIC LIBRARY BOARD MINUTES Thursday, December 11, 2008 Call to Order: 7:03 p.m. Roll Call Present at the meeting: Brian Kelly, Chair; Board members Richard Heath, David Burke, Jan Thenell, Cecilia Nguyen, Jennifer Vasicek and Alternate Linda Monahan; Library Director Margaret Barnes and Jaime Hutchison. Karen Levear was excused. Minutes The November 6, 2008 Board meeting minutes were reviewed and, there being no additions or corrections, the minutes were approved as read. Call to the Public Barnes introduced Ramona Fitzpatrick, Library Assistant, to the Board. Ramona was a Circulation Assistant at Tigard 8-10 years ago and has been back working at Tigard for 5 years. Fitzpatrick had 5 brothers and would hide out in her room to read to get away. Fitzpatrick gave high compliments to the staff and volunteers for their dedication, intelligence and compassion. Fitzpatrick commented that good training helps when dealing with difficult patrons. Fitzpatrick asked the Library Board what their role was and Kelly explained that the Library Board is here to review and set Library policies and to serve and support the Library. Kelly introduced George Burgess, President of the Friend of the Tigard Library, to the Board. Burgess explained that the Friends sell books so they have money to give to the Library. The Friends organization was started in the 1970s. Burgess distributed a handout that outlined both the historical revenue of the Friends through book sales as well as the total donations of the Friends to the Library. He said there has been a shift in giving from equipment and furnishings to funding programs and buying giveaway books. Burgess noted that large book sales make around $5,000 to $6,000. There are 5-9 active members of the Friends at any time and about 20 members who help out with the book sales. Burgess mentioned that the Library Foundation is being refreshed and it will be good to see it back up and running again. Burgess mentioned the Friends now have their own website, www.tigardlibraryfriends.org. The site is set up so people may donate online. Burgess said they had received information that they would be receiving a substantial amount from the trust of Harry Urling, but were not yet sure of the amount. Finally, Burgess explained that the remaining books from book sales are often passed on to other organizations. Monthly Report for November 2008 Barnes reported that we are hovering near the 100,000 checkout mark. November was a busy month for programming. About 180 people came to the Mega Craft Workshop after Thanksgiving. The movies IronMan and Wall-E drew large attendance. Eva and Les Aigner presented a Kristallnacht program in which they spoke of their experiences in the concentration camps. It was very powerful and well attended. Jaime Hutchison and Kathy Vincent spear-headed an effort to adopt the Good Neighbor Center this holiday season. Saturday there was a gift-wrapping party and on Sunday the presents were distributed to the families and several crafts were available for the families to enjoy. Hutchison and Vincent also worked on the Food for Fines Drive. $971 dollars of fines were waived, and 2,443 pounds of food were collected Food Pantry in Tigard. Barnes reported that the Library will be adding 3 additional weekend hours and handed out a copy of the bookmark. Library2Go now has MP3 files available for download. Barnes informed the Board that Tuesday, March 17 will be the joint meeting with City Council. Annual Patron Survey Barnes stated the annual survey will take place the first two full weeks in February. Barnes mentioned that Trish Stormont, Volunteer Coordinator, may contact Board members to see if they would like to volunteer at the survey table. Council Goals Discussion ensued about creating new goals to submit to council or expanding on goals suggested this last year. The 3 goals the Board discussed were: • Maintain existing level of service in tough economic times so resources are available to all members of the community • Promote alternative transportation in and throughout the City • Promote good citizenship Kelly will type up suggested goals and send them via e-mail to everyone. WCCLS Update Barnes is going to the council to report on funding as the county is exploring how libraries will be funded in the future. Barnes will send the executive summary via e-mail to the Board.
