1. BOARD MEETING
A. At 6:30 p.m. Board Chair Ristau called the Tigard Public Library Board Meeting to order.
B. Chair Ristau called the roll.

3. APPROVE MINUTES
A. Board Member Coleman moved to approve the Library Board minutes for the March 13,
2024 meeting. The motion was seconded by Board Member Bogert and the motion
passed unanimously.
4. ICEBREAKER
Library Director Bernard asked everyone in attendance the icebreaker question: What is your
favorite flower or plant?

Our “Meet the Team” guest was Violet Rogers-Stultz, the Library’s Volunteer Coordinator.
Violet has been with the Library team just over a year and a half now. She shared her most
recent projects, the citywide volunteer appreciation event, and the city’s new volunteer sign-up
software. This summer, we’ll relaunch our ever-popular summer teen volunteer program, so look
for those applications at the end of May.
Getting to know new people is one of Violet’s favorite parts of her role. She has the opportunity
to meet five to ten people each week who are interested in volunteer service, either within our
library or the city of Tigard. She enjoys getting to know why people want to volunteer.
Director Bernard asked Violet to share one thing people might not know about volunteering.
Violet shared that there is a lot of paperwork, document processing, and magic going on
“behind the curtain.”
Violet also spoke about how she developed our partnerships with the Tigard Garden Club and
King City Garden Club, whose volunteers help us with our native plant landscaping.
6. POLICY REVIEW
A. LIBRARY POLICY: Interlibrary Loan
Director Bernard explained what had changed from the last policy: The policy was only updated
to reflect current practice. Councilor Shaw asked if each library has their own ILL policy; Director
Bernard confirmed that each WCCLS member library has their own ILL policy.
Board Member Bogert moved to approve the Interlibrary Loan Policy. The motion was seconded
by Stoffel and the motion passed unanimously by members present.
7. DIRECTOR’S REPORT
Councilor Singh resigned from City Council last Friday. Until a new council member is appointed,
Councilor Shaw will be our board liaison.
Tigard weather is predicted to be in the 85-95 degree range from tomorrow through Saturday.
HVAC repairs are underway, with an estimated completion date of Thursday, May 16. Until

repairs are complete, the building HVAC is operating with reduced ventilation and no cooling
capacity.
The Library will close at 4pm on Thursday, May 9th; Friday, May 10th; and Saturday, May
11th.
Our updated Library Technology Room is now a reservable space for community groups. The
room was used for library programs, meetings, and trainings, community group gatherings and
by study room users on a first-come, first-served basis. It was used for 66 hours in April, and was
in action on all but one day after reservations began.
Director Bernard shared some staffing updates, including her hope that we will have hired a new
Confidential Executive Assistant by the June board meeting.
Board Member Stoffel asked about last year’s Drag Queen Storytime program and its
cancellation. Director Bernard summarized the events of last summer; a complete summary can
be found in the Library Board minutes of June 14, 2023.
Board Chair Ristau debriefed the annual presentation to Council, which took place on April 9th.
Members present agreed that the presentation was well-received, and extended their gratitude
to Tess Misenti and Jeanne Peloquin, who helped with the development of the presentation.
Board Member Coleman asked how far in advance community members can reserve the
Technology Room. This room can be reserved up to one month in advance. This information and

Board Member Stoffel asked about a Library representative for Tigard’s new Climate Action
Team. Director Bernard shared that one of our librarians serves on the city’s internal project
team for the climate action plan.
