CALL TO ORDER: Chair Scott Hancock called to order the June 11,2014 Tigard Library Board at 7:00 p.m. 2. ROLL CALL Present at the meeting were: Laura Cadiz, Katie Harris,Linda Monahan,Dan Snyder and John Storhm; Library Director Margaret Barnes and Executive Assistant Alison Grimes. Jan Thenell was excused. 3. APPROVE MINUTES The minutes from the May 14 Library Board were reviewed and, there being no additions or corrections, were approved as written. AGENDA ADDITIONS AND DELETIONS Add: Review Board meeting schedule for next three months; 10'Anniversary Celebration 5. CALL TO THE PUBLIC Joyce Niewendorp,Adult Services Senior Librarian,met with the Board as this month's staff guest. Switching careers at a later age, Niewendorp has worked at various libraries, from Richland County Public Library in South Carolina,to libraries in Tualatin,Hillsboro and Beaverton. Beginning at Tigard in June of 2006,Niewendorp spends the majority of her time at the adult reference desk, assisting patrons. She assists patrons with computer and/or ereader issues,reserves one of the three study rooms for use, and assists in collection development in the fiction,non-fiction and biographies areas. She also finds, arranges and hosts various programs for patrons. Before leaving,Niewendorp reminded the Board to please sign up for Summer Reading,if they hadn't already. LIBRARY POLICIES REVIEW After review,and a question regarding the deleted section was explained by Barnes, the following amended policy was re-adopted by the Library Board: o Reference Services Motion—Harris Second—Monahan Cadiz—Aye Hancock—Aye Harris —Aye Monahan-Aye Snyder—Aye Storhm—Aye Thenell—Excused 7. AUTOMATED MATERIALS HANDLING Barnes informed the Board that Council adopted the 2014/2015 budget the previous evening. The Library's Automated Materials Handling project was part of that approved budget. Circulation occasionally receives complaints from patrons that their returned books have not been checked in in a timely manner. AMH will alleviate that problem as check-ins should be quicker and more accurate. It will take several months to go through the request for proposals process,reviewing and then accepting a proposal and awarding a contract. AMH was a planned consideration for the building even before it was built. Barnes asked if the Board was interested in a field trip to a library that already has AMH—probably Beaverton - and what time of day would be best for the trip. Even touring on a Saturday was suggested. It was suggested to have a quick Board meeting and then recess to Beaverton for a tour. Barnes asked the Board to check their calendars and she will talk to Abigail Elder, the Library Director at Beaverton. Barnes also noted that nothing in the Library's budget was cut,it is basically the same as it was for 2013//2014. 8. LIBRARY OPERATIONS The monthly statistics from May were handed out and reviewed. A drop in volunteer hours was noted;Barnes is not sure why it happened but there is definitely a change. It was thought that less group volunteering might possibly be a factor. Circulation,however,continues to climb and there were quite a few school visits during the month. 9. OTHER BUSINESS o Library Foundation—Harris gave the group an update. After being dormant for quite a while, the Foundation is slowly but surely moving forward. Several new members have joined. o LIBRARYTRENDS Barnes spoke about a book entitled Accidental Branding:How Ordinary People Build Extraordinary Brands. In it, the author speaks about self-published books and how libraries will have difficulty deciding whether certain books are worth adding to the collection or not. It is also now more difficult to determine whether a book is self-published or not (50 Shades of Gray started off as a self-published book). An author has more control and makes more money self-publishing (or"indie"publishing). Some of the books are antiques worth$60,000 or more. O CALENDARS Barnes reminded that Board that, traditionally, a month is taken off in the summer, to allow for vacations, trips, etc. She also noted that as no Board members would be finishing their term this year,no elections would be held so,if the Board wished, a two month hiatus could be taken. Normally,Board meetings would be held Wednesday,July 9,Wednesday,August 13 and Wednesday, September 10. Review and re-adoption of the by-laws and election of officers will be held in September. A motion was made to skip both the July and August meetings this summer, reconvening on the September 10 date: Motion—Monahan Second—Cadiz Cadiz—Aye Hancock—Aye Harris —Aye Monahan-Aye Snyder—Aye Storhm—Aye Thenell—Excused During the September meeting,Teresa Ferguson,Technical Services Manager,will speak to the Board about RDA (Resource Description and Access) and how it affects the bibliographic records in the catalog, a date for the Automated Materials Handling tour will be decided, election of officers will be held and the two American Library Association policies,The Freedom to Read and the Library Bill of Rights will be placed on the agenda. 0 10TH BIRTHDAY BLAST Finally,Barnes told the Board about the upcoming 10`'Birthday Blast—a celebration of the building's construction 10 years ago. The celebration is set for Saturday,August 23 and Barnes hoped members would attend. 10. ADJOURN There being no further business, the meeting was adjourned at 7:54 p.m. The next meeting of the Tigard Library Board will be Wednesday, September 10, 2014 at 7 p.m. in the second floor Conference Room of the Library, 13500 SW Hall Blvd.,Tigard.
