Roll Cal : Marilyn Hartzell, Jeri Cundiff, Yvonne Burgess, Nancy Irwin, and Susan Grossen. Staff: Kathy Davis. Guest: Mara Sani and Liz Newton. Minutes: Irwin moved to approve the minutes as written, seconded by Grossen. Reports: April Monthly Report - Two Board members attended this years OLA Conference. A library-wide moratorium on new projects or process changes has been declared until the end of May or early June, which will allow staff to bring current projects up-to-date. There will be an assessment on what needs to be tackled next fiscal year. Valerie Yunker has spent almost 100 percent of her time working on the City network. This means various library computer projects have been put on hold. Due to the shortage of on-call reference librarians, the library is considering using existing part-time Circulation staff. The library will monitor Lake Oswego's new Automatic Check-Out system for process of converting book collection for use with 3M machine. DYNIX System upgrade "Release 140" was installed on the WILL Computer functions were down a week, which reflects the drop in circulation. Some functions are still down due to some glitches. This years Summer Reading Program theme is "Catch the Wave." Packets have been organized for families to take home and create decorations for the Children's Area. Working with Internet connection to map out dependable routes on Information Highway. Friends of the Library: Burgess reported to Board on GA Kids dedication. Jody Westerman demonstrated how program will work. YART Book Sale is May 13, 14, and 15. Proceeds from Children's and YA books will go to YART. Raffle tickets will be placed in these books for a prize. There was $1,050 raised from old computer equipment sales. This money will be used for Children's/YA Area. Four hundred dollars has been received in memory of Pat Coffeen. .L.A.B.: Main item of discussion was the Board approved staffs recommendation of pursuing Internet at City-wide level. Two main considerations are WCCLS staff will pursue the best rate for connection and what product (database) should be accessed. Examining Basic Services: Director gave an overview of the library's basic service guidelines. Director also highlighted the City's plan for next 5-7 years. Director has asked library staff to look at ways of cutting back on spending and take a look at the service we are providing and the consequences if a new tax base in 1996 does not pass. Once ideas are put together, Director will come to Board for input and feedback. Developing a Tool for Citizen Feedback: Director presented a draft questionnaire for citizen input and feedback on satisfaction of library service to citizens. This questionnaire will be included with the City water bills. Board reviewed and gave suggestions. Once implemented and questionnaires are returned by citizens, the library will tabulate and report on findings. Other Business: A presentation on 'Intellectual to Freedom and Censorship" will be reviewed by the Board at the June 9 meeting. Adjournment: Cundiff moved to adjourn meeting at 8:38 p.m., seconded by Burgess. 3 HALOGIMCONN I EIBRDMIN MEMORANDUM CITY OF TIGARD, OREGON TO: Pat Reilly, City Administrator FROM: Kathy Davis, Library Director DATE: June 6, 1994 SUBJECT: Monthly Report, May 1994 Dedication Ceremony: A dedication for our new Picture Book/Stuffed Animal Memorial Collection was held on May 7. The collection, in honor of George Anne Miller's memory, was attended by her mother and brother plus about 50 members of the staff and community. ECHO: A new Electronic Notification System has been installed on the WILT System. Customers with books on hold or overdue will be notified by a computerized voice messaging service. This product is expected to save the 11 member libraries approximately $40,000 in postage each year. Youth Services: Preparations have begun. This year's theme is "Catch the Wave - Readl" The Children's and YA areas are being transformed into deep sea environments - complete with sharksl The YART group has completed their annual field trip to purchase popular music. They are adding CDs to the collection. Sue Plaisance has made arrangements with Fowler Middle School to display new student art work each month during the school year. Jody Westerman has compiled a list of tasks she would like to see followed through on during her absence in 1995. She will be attending graduate school in Australia. Staff Training: The library closed on May 27 to allow all staff to attend the Clackamas County Library Conference. Workshops included: Basic Internet information; Conducting the Effective Reference Interview; Work Smarter, Not Harder; and Customer Service. WCCLS: The Professional Board will be holding a retreat on June 30 to discuss topics related to the public library's core services; What is the appropriate relationship between public libraries and schools? Local government? Other non-profit agencies? All WCCLS libraries are beginning to identify and prioritize basic services. New Computer Module: TPL will be a Beta Test site for a new DYNIX module: KID'S CATALOG. This is an icon based-kid friendly version of WILI. Survev: Volunteer Coordinator, Jean Lindsay, and Paula Walker worked together to determine how much staff time was being used for check-in and shelving. The results will be used to work towards the 94-95 FY goal of having 100 percent of these tasks performed by volunteers. Circulation: This is the second month that we have experienced a slight decrease in checkouts (-1.20/o)*. New customers registered also dropped below 300 for the first time in a year (284). We may be seeing a leveling off . . . too soon to make a guess on this. Beginning in July, I will be modifying the statistical report to include a monthly gate count (library visitors per month). I believe this will help give us a more accurate idea of library use than just circulation. This month: 14,546 customers. * Note that our circulation per hour was the same as last year.
